Managing Your Busy Life: Learn How to Plan & Gain More Time for Yourself: 10 Tips & Tricks

how to plan

Man o man, life can be so busy that it sometimes feels like you don’t have enough time. You feel rushed most of your time and when you try to relax you don’t feel relaxed. This is something many people struggle with. But hooray, you can go try and change this for yourself by learning how to plan. You need to learn how to plan and start feeling achievement. Let’s get you back your time.

Acknowledge your busy life

Managing a busy life can feel like a constant juggling act, where every moment is accounted for and relaxation seems like a distant luxury. Whether it’s work deadlines, family commitments, or personal goals, finding time to unwind can often be challenging. However, taking control of your schedule and intentionally planning moments of relaxation is not only possible but essential for your overall well-being.

Start with acknowledging that you currently have a busy life and that you have a lot to put up with. Start giving yourself credit for everything that you are doing and for everything that you are trying to do (even though it sometimes doesn’t work out the way you want it too). Start by acknowledging that feeling overwhelmed is normal, but it doesn’t have to define your daily experience. Begin with small steps towards reclaiming your time and nurturing a sense of relaxation:

  1. Prioritize Self-Care: Make self-care non-negotiable by scheduling time for activities that rejuvenate you, whether it’s reading a book, taking a walk, or practicing mindfulness. Treat these moments as essential appointments with yourself.
  2. Set Boundaries: Learn to say no to commitments that don’t align with your priorities or add unnecessary stress. Setting boundaries around your time allows you to focus on what truly matters.
  3. Plan and Organize: Use tools like planners or digital calendars to map out your days and weeks. Break down tasks into manageable chunks and allocate specific time slots for work, leisure, and relaxation. This structured approach helps prevent overwhelm and allows for intentional breaks.
  4. Practice Mindfulness: Incorporate mindfulness techniques into your daily routine to cultivate a sense of calm amidst busyness. Even a few minutes of mindful breathing or a short meditation session can help center your thoughts and reduce stress.
  5. Delegate and Collaborate: Don’t hesitate to delegate tasks at work or enlist help from family members at home. Sharing responsibilities lightens your load and creates space for relaxation.
  6. Limit Screen Time: Constant digital engagement can contribute to feeling overwhelmed. Set boundaries around screen time, especially before bedtime, to promote better sleep and relaxation.
  7. Celebrate Progress, Not Perfection: Recognize that managing a busy life is an ongoing process. Celebrate small victories, whether it’s completing a task on time or carving out uninterrupted relaxation time. Give yourself some self-compassion.

Remember, finding balance is about making conscious choices that align with your values and well-being. By taking proactive steps to manage your schedule (learning how to plan) and prioritize relaxation, you not only regain control but also create a healthier, more fulfilling lifestyle. Embrace the journey of self-care and relaxation as an essential part of living a happy and balanced life.

Start planning: some tips & tricks

Creating a realistic and achievable planning system is essential for staying organized and reducing stress. But making a realistic planning can be quite hard, here are ten tips to help you create a planning system that works for you:

  1. Be Realistic: Avoid overloading your schedule with too many tasks or unrealistic deadlines. Set achievable goals and be mindful of your own limits and energy levels. Else you will feel stuck, because you have so much left to do and only so little time.
  2. Prioritize Tasks: Identify the most important tasks that need to be accomplished each day or week. Use techniques like Brian Tracy’s Eat That Frog! 21 Great Ways to Stop Procrastinating and Get More Done in Less Time (Amazon), this book helped me eating my frogs daily!
  3. Don’t make full-day-plannings: If you plan your whole day from hour to hour, you will put way too much pressure on yourself and in the end you will only feel more disappointed when you didn’t cross everything off of your to-do-list. INSTEAD:
  4. Make lists: I always make a What-I-Would-Like-To-Get-Done-Today-List: this takes away a lot of pressure for me.
  5. Learn to Say No: Don’t overcommit yourself. Be selective about taking on new tasks or responsibilities that may overwhelm your schedule. Learn to say no to things that don’t align with your priorities.
  6. Use a Calendar: Whether digital or physical, use a calendar to schedule appointments, deadlines, and recurring tasks. This helps you visualize your commitments and manage your time effectively.
  7. Break Tasks into Smaller Steps: Large tasks can be overwhelming. Break them down into smaller, manageable steps to make progress easier and more achievable.
  8. Set Clear Goals: Start by defining your long-term and short-term goals and write them down. Break them down into actionable steps that you can incorporate into your daily or weekly plans.
  9. Review Regularly: Schedule regular reviews of your planning system— daily, weekly, and monthly. Assess what tasks were completed, what needs adjustment, and what new tasks or goals need to be added.
  10. Adjust and Adapt: Be flexible with your planning system. Life is unpredictable, and plans may need to be adjusted. Embrace changes and adapt your schedule as needed to maintain productivity and well-being.

If you want to make a full planning of your whole day then take these steps also into consideration, but I don’t recommend it:

  1. Include Buffer Time: Allow extra time between tasks or appointments to account for unexpected delays or interruptions. This reduces stress and helps you stay on track with your schedule.
  2. Time Blocking: Allocate specific blocks of time for different tasks or types of activities. This helps create a structured day and prevents overcommitting to one task at the expense of others.

By implementing these tips, you can create a planning system that is not only effective but also sustainable. It will help you stay organized, reduce stress, and achieve your goals with greater ease and confidence.

Give credit

Perfect! You have made the best planning for yourself. You will feel extra motivated after you have made a reasonable planning to get it done. BUT don’t fool yourself; if it doesn’t work out the way you wanted it to, still give yourself credits for even trying. Be self-compassionate, acknowledge that you are doing the best you can. If you still keep on making a planning that is not achievable, consider taking on less things to do on a day.

After a busy day, everyone needs some relaxation. However, it can be quite hard to really feel relaxed, when there’s so much going on or things that you need to do. Try to overcome this by telling yourself that you deserve some time off. You need to learn to let go! Let go everything that you need to do for the time being. If you do not get some relaxation, you will feel overwhelmed while trying to get done your to-do list / planning. Be mindful of the time you are spending to relax; be mindful of what you are doing in this time and really make yourself feel worthy of this time.
